The Cost of Ignoring Life Admin: How One Missed Form Nearly Ruined Our Family Holiday

kid sad airport

A few years ago, during the pandemic, my family and I were flying out to Greece for a much needed break.

Bags packed, kids buzzing with excitement, everyone ready for the holiday we'd been looking forward to for months.

Unfortunately we didn't make it past the check-in desk.

One of the children had a form outstanding, a specific document the Greek government required at the time because of Covid. We hadn't filled it in. It didn't matter that every other form was in order, that our passports were valid, that we'd done almost everything right. That one gap was enough. We weren't allowed to board.

So we turned around, drove home, and unpacked the bags we'd only just packed. I will never forget the look on my children's faces in that moment. Confusion, then bitter disappointment, then a still sadness that evening at home at the dinner table.

That single missed form cost us our holiday. And it taught me something I now see play out in other families' lives, week after week: life admin is invisible, yet if something important is forgotten, it’s will cost you dearly.

According to a 2026 survey commissioned by SafeKeep, a quarter of Britons now spend more than two and a half weeks a year on life admin, tasks like paying bills, renewing documents, sorting insurance and booking appointments.

Most of it feels small enough to put off.

Until the one time it isn't.

You're not alone, this happens more than you'd think.

Since starting BlckBx, I've lost count of the number of times we've caught something in a client's life admin that could have caused exactly the same heartbreak we went through in Greece.

We check passports as a matter of course for any family that's travelling, and we've lost count of how many times we've found a child's passport had already expired, or was due to expire within the six month window that a lot of countries require. Hundreds of times, at this point. Every single one of those families would have found out at the airport, the way we did, if nobody had been keeping watch.

It's the same story on the road. According to 2025 analysis from Confused.com, close to three million UK vehicles have been driven without a valid MOT in the last three years, and drivers caught without one don't just face fines of up to £1,000 (or £2,500 if the car turns out to be unsafe). Their insurance can be invalidated too, which means anyone driving around with a lapsed MOT may not actually be covered if something goes wrong. We check MOT and insurance renewal dates for our clients as standard as soon as they join, because once they’re a BlckBx client, they have the peace of mind that this kind of stuff is already handled.

“The clients we see with the most life admin piled up are the ones who are higher up in their careers, with the busiest family lives often in dual working households. For these families, paperwork is at the bottom of the list when what to cook for dinner and who to pick up from school is that evening’s priority”

The parts of painful life admin that build up.

Life admin isn't one big task. It's dozens of small ones, scattered across your calendar, pushed into kitchen drawers or crumpled at the bottom of hand-bags - each one, another piece of mental load you carry around every day.

The problem with these forms, reminders and admin jobs is that they really rack up in costs if they’re not kept ontop of. We often save clients thousands of pounds a year just in switching utilities and insurance every year. That actually pays for most of their BlckBx membership every year alone.

These are the most common things that catch busy families out:

  • Passports. Not just whether they're valid, but whether they'll still be valid on the date you travel, and whether they meet the specific entry requirements of the country you're visiting.
  • Visas and travel paperwork. Requirements change country by country, and sometimes, as we found out, year by year.
  • Immunisations. Making sure records are up to date for travel, and for growing children who need to keep on top of theirs from the moment they're born right through to school and adulthood.
  • Travel insurance. Having the right cover in place before you go, not after something's gone wrong.
  • Vehicle admin. MOT, insurance and tax dates that are easy to lose track of, especially when renewal notices get buried in an inbox.
  • Utilities. Checking you're on a competitive rate rather than overpaying. Providers raise their prices every year and rely on the fact that most people won't get round to calling to challenge it, or will find the process too painful to bother.

This is exactly why we built BlckBx.

I started BlckBx because I'd lived through what happens when life admin gets away from you. I didn't want other families to find out the hard way, standing at a check-in desk with their kids watching their holiday disappear.

With BlckBx, you get a dedicated personal assistant, a real person, not a chatbot, who keeps an eye on the things that are easy to let slip. They'll flag a child's passport before it expires and organise a new one. They'll check your MOT and insurance are up to date before you're caught out and book in the service. They'll keep track of immunisation records as your child grows. They'll call round for a better utility deal so you're not mindlessly overpaying year after year.

Unlike other services that just “flag” another task you need to do - your assistant will get the job done before it even hits your to-do list. It's all part of your BlckBx subscription, at no extra cost.

We've done this hundreds of times over for the families and professionals who trust us, which is exactly why we don't think there's anyone else in the world offering quite what we do. BlckBx is trusted by leading employers and professionals around the world to keep the small stuff from becoming the big stuff - removing your mental load as well as saving you time and money.
